Unified email column - how email is managed on leads

How HeyReach's unified email column works - email states, enrichment actions, and what this means for integrations and the API.

You can now see a single unified email column per lead.

Instead of multiple email fields depending on source, every lead has one email field that always shows the most recent email - regardless of where it came from.

How unified email column works

A lead's email can come from three sources:

  • Manual input - entered via the UI, imported via CSV, or added through the API.

  • Email enrichment - found automatically using HeyReach's enrichment feature.

  • HubSpot sync - pulled in from a connected HubSpot contact.

Whichever source updated the email most recently is the one that is shown. The most recent update always takes priority.

Email statuses you can see in the unified email field

Each lead's email field shows a clear status so you always know where the email came from and what actions are available.

No email

The lead has no email address yet.

  • Enrich - attempt to find the email automatically (costs 1 credit)

  • Add manually - enter an email address directly

Manual email

The email was added manually (via UI, CSV, or API). Shown with a manual icon.

  • Enrich - replace with an enriched email (costs 1 credit)

  • Edit - update the email manually

Enriched email

The email was found via HeyReach's enrichment feature. Shown with an enriched icon.

  • Re-enrich - run enrichment again to find a fresher result (costs 1 credit)

  • Edit - override with a manual email

Not found / failed enrichment

Enrichment was attempted but no email could be found, or the attempt failed.

The status is clearly shown with a tooltip that includes when the attempt was made and the reason it failed.

  • Retry - try enrichment again (costs 1 credit)

  • Edit - add or update the email manually

☝🏼If the lead had a previous email before the failed attempt, that email is preserved and still shown

Currently enriching

Enrichment is in progress. A spinner and "Enriching" label are shown.

There is no option to cancel while enrichment is running - wait for it to complete before taking any action.

Where unified email column appears

The unified email column and all its states are consistent across the entire product:

  • Lead List

  • My Network

  • Inbox / Unibox

  • Lead Drawer (when clicking into a lead from any screen)

Integrations and API

A few things to be aware of if you use the HeyReach API or CRM integrations:

  • API and webhooks - remain unchanged for now. Both enriched and manually edited emails are still returned in the response body

  • CRM integrations (e.g. Instantly) - will receive the latest email only, consistent with the unified column logic
