How to use the Blacklist in HeyReach?

Learn what is HeyReach Blacklist, and how to use it to exclude specific people and companies from your campaigns, manage entries, and understand matching statuses.

What is the Blacklist in HeyReach?

The Blacklist is essentially a list of people and/or companies you don't want to target in any of your campaigns – like your competitors, partners, or friends from your ex.

Once you create it, you can exclude specific people and companies from every campaign in a workspace.

Find it under Settings → Blacklist.


Leads tab and Companies tab

  • Leads tab: here you can add someone by LinkedIn profile URL, email address, or full name. Add them one at a time, several at once with "Add another", or import a CSV of up to 1,000 rows.

  • Companies tab: here you can add a company by its LinkedIn page URL or its name, and everyone who works there is automatically skipped. No need to know the individual names.


How an entry is matched

After you add someone, HeyReach finds the person or company behind what you typed.

The Status column tells you where that process got to:

  • Exact match – HeyReach found that precise profile. Only that person is excluded.

  • Broad match – you gave a name only, so everyone with that exact name is excluded. Deliberately blunt.

  • Matching – still looking; it can take a few minutes.

  • Not found – HeyReach could not tie the entry to a profile. Hover the badge for the reason, and use "Retry matching" from the row menu.

Where you will see the Blacklist badge

Blacklisted leads carry a badge in the bottom right hand corner of their LinkedIn profile photo. These will be visible in your:

  1. Lead lists

  2. Lead view

  3. Unibox


How to send a lead from existing lead list to Blacklist

  1. Go to your lead list and search for the lead you want to add to the Blacklist.

  2. Click on the lead to open "Lead view".

  3. Click the three-dots button and click "Send to blacklist". That's it! You've blacklisted a lead without leaving the screen.

In campaigns

Two exclude options sit on the Leads step of every new campaign: "Exclude leads on your blacklist" and "Exclude leads from blacklisted companies".

⚠️ Both blacklist exclude options are ticked by default on every new campaign. You need to deliberately untick them to disable this protection.


In the Campaign analytics

Skipped leads show as "Excluded" in the campaign's Leads analytics, with the reason shown behind the info icon, the blacklist itself, or their company. Filter by exclude reason to see the whole set in one click. Excluded leads are never enrolled in the sequence and never contacted.


Keep in mind

  • The blacklist belongs to the workspace. People, companies, and settings are completely separate in every workspace nothing is shared between them.

  • Limits are 1,000 people and 1,000 companies per workspace. When a list is full, the Add and Import buttons stop working until you remove entries.

  • A CSV import takes up to 1,000 rows per file and tells you before importing how many are already on the list, so nobody is added twice.

  • Adding through the public API or the MCP tools takes up to 100 entries per request.

  • Auto-find tool for matching an email to a LinkedIn profile costs up to 1 credit per email. The tool is free when the profile is already known. LinkedIn URLs are always free.

  • Viewing the blacklist requires the "View leads" permission; adding and removing entries also requires "Manage leads".

  • You can export the blacklist to CSV and remove several entries at once from the Actions menu.

  • The Blacklist feature is also available for Whitelabel users.
