How does the Manager Role work with External Organizations?

The Manager role lets users with existing HeyReach accounts access and manage external workspaces by using the same email address.

Why Use the Manager Role?

This role is especially helpful for:

  • Affiliate partners who want to join and support the workspaces of their referrals

  • Consultants working across multiple client organizations

By using the Manager role, affiliates can seamlessly access their referral’s workspace and help them get set up or manage campaigns, all without switching accounts.

🚨 Managers can do everything in the invited workspace except manage billing, workspaces, and members.


Who Can Be Invited as a Manager?

To be eligible, the invited user must:

  • Already have a registered HeyReach account

  • Or, be part of another HeyReach organization as either an Admin or Member

If any of the requirements aren’t met, the invitation won’t be sent, and the inviter will see an error message.


How to Invite a Manager in HeyReach?

Step 1. Open the Members Settings

  1. Log into your HeyReach account.

  2. Go to the Settings tab and click on Members.

  3. Then, click the Invite Members button in the center-right corner.

🧠 Make sure the email belongs to someone who already has a HeyReach account and is part of another organization.

Step 2. Invite the Manager

  1. In the pop-up window, type the email address of the person you want to invite as a Manager.

  2. From the Role dropdown menu, select Manager.

  3. Pick one or more workspaces you'd like the Manager to access.

  4. Click the Invite Managers button to complete the process.

👀 What Happens Next?

  • The invited user receives an in-app notification

  • After accepting, your organization appears in their workspace dropdown

  • They can easily switch between organizations as needed


How to Remove a Manager?


Step 1. Remove the Manager from Members

  1. Log into your HeyReach account and go to Settings > Members.

  2. Find the user you want to remove, click the three dots menu next to their name, and select Remove Member.

  3. Confirm the action by clicking Yes, remove in the pop-up window.

💡 Once removed from their main organization, the Manager automatically loses access to all external organizations where they were invited as a Manager.


How to Leave an External Organization (as a Manager)


Step 1. Leave the Organization

  1. From your HeyReach dashboard, open the workspace dropdown and select the external organization you want to leave.

  2. Go to Settings > Members, click the three dots menu next to your own name, and select Leave Organization.

  3. Confirm when prompted.

💡 Once you leave, access to that organization and its workspaces is removed immediately.


Managers in Whitelabel Organizations

Managers can be invited to external whitelabel organizations, just like they can with standard HeyReach workspaces.

What Interface Will They See?

  • If a Manager belongs to a whitelabel organization and is invited to another whitelabel, they will continue seeing their original whitelabel’s interface, even when managing external workspaces. The external whitelabel’s branding will not override their primary interface.

  • If a Manager is part of a HeyReach-branded organization, and they’re invited to a whitelabel organization, they’ll still see the standard HeyReach interface when accessing that external workspace.

🧠 Managers always see the interface of their main organization, not the one they’re invited into.
