We’ve introduced role-based permissions in HeyReach so you can manage what your team members and admins can see and edit in HeyReach.
Click here to access the video tutorial.
1️⃣ Where to View the Members
Go to the Members section of your workspace.
Click Members to get access to all the workspace members who have ever been invited to HeyReach.
2️⃣ What Roles Are Available?
Admin: Full access to everything, including billing and full control.
Member: No access to billing, inviting members and workspace management. You can set permissions and limit access for viewing and editing settings of features like:
LinkedIn Senders
Leads
My Network
Campaign
Unibox
Integrations & API
4️⃣ Role Selection During Invitation
If Admin is selected:
The invited user will have full access to all existing workspaces and all future ones that will be created.
Includes:Billing Management
Workspaces Management
Members Management
If Member is selected:
You can choose one or more workspaces where this member needs to be invited to, and edit their viewing and editing permissions in those workspaces.
4️⃣ Setting Member Permissions
For Members, you’ll customize what they can access.
Permissions are set at the screen level, not for individual items.
For example: If you give someone access to view all LinkedIn Senders, they will see every LinkedIn account in the workspace, not just their own.
Be careful to avoid giving more access than you want.
You can set View or Manage permissions for:
LinkedIn Senders
Leads
My Network
Campaigns
Inbox (Unibox)
Integrations
API
Permission levels:
View = Can see, but can’t change anything.
Manage = Can do everything you can, including edits and disconnections.
5️⃣ Important Permission Dependencies
Some permissions depend on others:
Giving Campaigns access will automatically grant view permissions for LinkedIn Accounts and Lead Lists (since campaigns need those). You can’t untick these dependent permissions.
For Inbox access, members will see all conversations in the Inbox, not just those connected to their own LinkedIn accounts.
Integrations and API permissions are independent. No extra access comes with them.
6️⃣ Example Permission Setup
Suppose you want a team member to:
Manage LinkedIn Senders
Manage Leads
Reply to conversations in the Inbox
But not manage Campaigns or access Integrations
You’d:
Enable Manage for LinkedIn Senders and Leads
Enable the option "Can reply from LinkedIn senders Inboxes" via HeyReach Unibox.
Leave Campaigns and Integrations unchecked.
7️⃣ Sending the Invitation
Once you’ve selected permissions, click Invite.
You’ll see a success message confirming the invite.
8️⃣ Tracking Invitations and Members
In the Members screen:
Accepted members show name and email.
Pending invites show only the email address.
You can copy the invite link to share directly.
9️⃣ Editing Permissions Anytime
Click Edit Permissions next to a pending invite to adjust their access before they even accept.
After they accept, you can still update their permissions or promote them to Admin at any time.
With HeyReach’s flexible role-based permissions, you can give your team exactly the access they need, no more, no less. It’s a great way to keep your workspace secure and well-organized.
