What Auto-Tag Does
Auto-Tag automatically classifies leads based on their first reply to a campaign message or InMail. Instead of manually reviewing every reply to understand intent, HeyReach does it for you - giving each lead a tag that reflects how they responded.
When a lead replies to a campaign message or InMail, HeyReach automatically assigns one of three tags:
Interested - the reply signals a positive intent
Not Interested - the reply signals a negative intent
Generic - the reply does not signal a clear intent (e.g. an out-of-office or a neutral response)
Auto-Tag feature key behavior
Campaign replies only. Auto-tags are only generated from campaign conversations. Replies from conversations started outside of a campaign (e.g. direct Unibox messages) do not trigger auto-tagging.
First reply only, with a 15-minute delay. The tag is generated 15 minutes after the lead's first reply. Subsequent replies in the same conversation do not generate a new tag.
One tag per lead at a time, workspace-wide. A lead can only hold one auto-tag at a time, and it applies across the entire workspace. If the same lead replies in a different campaign later, the new tag replaces the previous one.
Most recent tag always wins. The most recently generated auto-tag within the workspace is always the one displayed, regardless of which campaign it came from.
๐๐ผ Example: A lead is tagged "Interested" from Campaign A. They later reply to Campaign B and get tagged "Not Interested". The tag shown everywhere in the workspace will now be "Not Interested" - even in Campaign A's lead view.
Where Auto-Tag appears
Unibox
An icon-badge appears next to the lead's name in the conversation list
The lead drawer shows the full auto-tag details - including which campaign generated it and which sender it is associated with
If the tag was generated in a different conversation than the one currently open, a button appears in the drawer allowing you to navigate directly to the original conversation
โ ๏ธ If the campaign or sender associated with a tag has been deleted, the drawer will show: "Auto-tagged in (campaign deleted), talking from (sender removed)"
Lead list and my network
An icon appears next to the lead's name in the Full Name column
The lead drawer shows full tag details - same as the Inbox drawer
The Search Leads bar supports searching by Auto-Tag name
Campaign lead analytics
An icon appears next to the lead avatar in the Lead column, but only if the auto-tag was generated from that specific campaign
A new filter - Lead's Auto-Tag - lets you filter the lead list by tag (Interested, Not Interested, Generic, or any combination)
Auto-Tag in CSV exports
Auto-tag data is included in two CSV exports:
Lead List CSV export - includes the following columns for each lead:
Auto-tag name
Auto-tag campaign name and campaign ID
Auto-tag sender full name and sender ID
Auto-tag creation time
Campaign Analytics CSV export - includes the following columns:
Auto-tag name
Auto-tag sender full name and sender ID
Auto-tag creation time
๐จ In the Campaign Analytics export, the auto-tag is only included if it was generated from that specific campaign. If a lead's most recent tag came from a different campaign, it will not appear in this export.
Auto-Tag in the API and Webhooks
For teams using the HeyReach API or Webhooks, Auto-Tag data is now available across key endpoints.
API endpoints updated:
GetLeadsFromList
GetChatroom
GetConversationsV2
GetOverallStats
GetOverallStatsByCampaign
New webhook event types:
Lead Auto Tagged Positive
Lead Auto Tagged Negative
Lead Auto Tagged Generic
โ ๏ธ Webhook events for auto-tagging can be configured per campaign. This lets you fire different workflows depending on which campaign generated the tag.
Performance Snapshot (Dashboard Banner)
Alongside Auto-Tag, we are introducing a Performance Snapshot - a banner on your HeyReach dashboard that highlights your outreach results from the last 90 days and lets you share them.
The banner appears when all of the following are met in the last 90 days:
50 or more accepted connections
20 or more replies
10 or more positive replies
At least 10% positive reply rate
โผ๏ธ The banner is hidden for white-label users.
What's in the Performance Snapshot:
Clicking Play Snapshot opens a story-style view showing a single shareable image with your performance metrics from the last 90 days, calculated at the account level:
Connections Sent
New Connections (accepted)
Messages Sent (including InMails)
Replies (including InMail replies)
Positive Replies (leads tagged as "Interested")
Actions available from Performance Snapshot:
Download - saves the snapshot image with all metrics included
Share on LinkedIn - opens LinkedIn's sharing page in a new tab.
Close - click the X button, or the story closes automatically when the progress bar at the top completes
โ ๏ธ Note: the image is not attached to the LinkedIn post automatically, you will need to upload it manually on the LinkedIn sharing page

Frequently Asked Questions
Why hasn't my lead been auto-tagged yet?
Auto-tags are generated 15 minutes after the first reply. If it has been less than 15 minutes, wait a moment. If it has been longer, check that the reply came from a campaign conversation - replies from outside a campaign do not trigger auto-tagging.
The auto-tag shown in Campaign A seems wrong - it says "Not Interested" but this lead was interested.
Auto-tags are workspace-wide and always reflect the most recent tag. The lead may have replied to a different campaign since then and received a new tag. Check the tag details in the lead drawer - it will show which campaign and sender generated the current tag.
Can I manually change or override an auto-tag?
Auto-tags are generated automatically by the system and cannot be manually edited. The tag updates automatically when the lead replies to a new campaign.
The "go to original conversation" button is not showing in the lead drawer - why?
This button only appears if the auto-tag was generated in a different conversation than the one currently open. If the tag was generated in the current conversation, the button is not needed and will not appear. In rare cases where the sender ID or conversation ID is missing, the button may also not display.
The Performance Snapshot banner is not appearing on my dashboard - why?
The banner only appears when all four criteria are met in the last 90 days (50+ accepted connections, 20+ replies, 10+ positive replies, 10%+ positive reply rate). If any one of these is not met, the banner will not show. It is also hidden for white-label users.
The auto-tag is not showing in my Campaign Analytics CSV export - why?
The Campaign Analytics export only includes auto-tag data if the tag was generated from that specific campaign. If the lead's current tag was generated from a different campaign, it will not appear in the export for this campaign. Use the Lead List CSV export to see the full auto-tag details for all leads regardless of which campaign generated it.
