Connecting Instantly to HeyReach
Step 1. How to generate your Instantly API key
Open Instantly, go to Settings → Integrations > API Keys
Create a new key
Select the scopes:
Users should select all scopes to make it simpler
Generate the key and Copy it.
Step 2. Paste the Instantly Key to HeyReach
Go to Integrations → Instantly in HeyReach.
Select Connect.
You’ll be prompted to paste your Instantly API key.
Once saved, HeyReach will display the integration as connected. ✅
Sending leads via HeyReach to Instantly
HeyReach gives you two ways to sync leads into Instantly: sending them to Lead Lists or directly into Campaigns. Below is an overview of how each option works and what to expect. 💪
Option 1. Adding Leads to Instantly Lists via HeyReach
The Add to Instantly sequence action allows you to push leads from HeyReach into a specific Lead List inside Instantly.
When adding the Add to Instantly action, to enable this:
Select the Instantly Lists trigger action.
Choose the Lead List you want to send leads to.
💡 Lead Lists must be created in Instantly first. Once created there, they’ll automatically appear in HeyReach.
Where do Instantly lists appear?
When using the Add to Instantly step, you’ll see all Instantly lead lists under:
Instantly → Super Search → Lead Lists
If you create a new Instantly list, refresh HeyReach to see it.
Option 2. Adding Leads to Instantly Campaigns via HeyReach
With the Add to Instantly sequence acction, now you can also send leads directly to an Instantly campaign. 🚀
When adding the Add to Instantly action, to enable this:
Select the Instantly Campaigns trigger action.
Pick the campaign you want to send leads to.
💡 The campaigns must be created/ available on Instantly first. Only then can they automatically appear in HeyReach.
🚨 Import rules 🚨
Leads without email will fail to be added to an Instanty Campaign.
Leads without email will still be added to an Instantly Lead List (if already existing in the same list, they’ll be re-added without email).
Leads with an enriched email only → the enriched email is sent.
Leads with a custom email only → the custom email is sent.
Leads with both → the custom email takes priority and is added to Instantly.
Using Add to Instantly Inside HeyReach Campaigns
You can place the Add to Instantly step anywhere in the sequence for a HeyReach campaign.
Practical Use-cases:
At the start, before sending a connection request
After a connection request has been ignored for several days
After a user has received multiple LinkedIn messages but has not replied
As part of a fallback sequence if no email is available
🚨 Selecting a trigger action option is a MUST
Each time you use the node, you must choose the trigger action where the leads need to be sent, either to an Instantly Lead List or an Instantly Campaign.
If no specific trigger action is selected, the step displays an error. 👇
Practical Use-cases:
Below are common workflows your customers might use:
Use Case 1: No connection acceptance
Send connection request → wait 10 days
If not accepted → Add to Instantly → send email sequence
Use Case 2: Email follow-up after no response
Send InMail → wait 5 days
If no reply → Add to Instantly (second list for follow-up emails)
Use Case 3: Multi-path engagement
Accepted on LinkedIn but no replies to messages → Add to Instantly list for “Warm, No Reply” leads and push them to an ongoing email campaign.
Leads can be enrolled into different Instantly lists at different steps, depending on how they behave in the campaign.
