How to upgrade, downgrade, or cancel your HeyReach subscription

Learn how to upgrade your plan, reduce seats, downgrade your subscription, or cancel - including what happens to your data and whether you're eligible for a refund.

You can manage HeyReach subscription on your own dashboard, without any additional steps, communication or involvement of support team. Whether you want to scale up, reduce your seat count, switch to a different plan, or cancel entirely - this guide covers it all.

⚠️ You must be an Admin in your HeyReach organisation to make any subscription changes. Managers and Members cannot access Billing.

Accessing your subscription settings

All subscription changes are made from the Billing section:

  1. Log in to your HeyReach account.

  2. Click the Settings icon in the bottom-left corner.

  3. Select Billing from the menu.

  4. HeyReach Plans tab will open on default

⬆️ Upgrading your plan or adding seats

You can upgrade your plan or add more LinkedIn sender seats at any time. Changes take effect immediately.

To upgrade:

  1. Go to Settings → Billing → HeyReach plans.

  2. Select your desired plan.

  3. A pop-up will appear where you can choose the number of seats you'd like to have.

  4. Confirm the change - you'll be charged a prorated amount for the remainder of your current billing period.

☝🏼Proration explained: If you upgrade mid-cycle, you'll only be charged for the days remaining in your billing period - not the full month.

⚠️ Already paid twice by accident? If you were charged twice due to a duplicate purchase, contact our support team and we'll resolve it immediately.

⬇️ Downgrading your plan or reducing seats

You can reduce your seat count or switch to a lower plan in just a few clicks.

🚨 Important: Downgrading takes effect at the start of your next billing cycle, not immediately. You'll retain access to your current plan until then.

To downgrade:

  1. Go to Settings → Billing → HeyReach plans

  2. Select your desired plan.

  3. A pop-up will appear where you can choose the number of seats you'd like to have.

  4. Confirm the change. You'll see a confirmation that the downgrade is scheduled for your next renewal date.

What happens to your LinkedIn accounts when you reduce seats?

  • If you reduce your seat count below the number of currently connected LinkedIn accounts, some accounts will be automatically disconnected at renewal.

  • We recommend manually removing the accounts you want to disconnect before the cycle resets to control which ones are kept.

❌ Cancelling your subscription

You can cancel your HeyReach subscription at any time. Cancellation stops future renewals but does not provide an immediate refund for the current billing period.

To cancel:

  1. Go to Settings → Billing → HeyReach plans

  2. Click Cancel Subscription.

  3. Follow the prompts to confirm your cancellation.

What happens after you cancel subscription:

✅ Your account and data remain accessible until the end of your current billing period.

✅ No further charges will be made after your subscription ends.

⚠️ All active campaigns will be paused, and LinkedIn accounts will be disconnected at the end of the period.

⚠️ You will not be able to connect new LinkedIn accounts or launch campaigns once cancelled.

🚨 You've been charged after cancelling? If you cancelled but were still billed, this may be because the cancellation was processed after your renewal date. Contact support with your cancellation confirmation and we'll review your case.

🔄 Reactivating a cancelled subscription

Changed your mind? You can reactivate your subscription at any time:

  1. Go to Settings → Billing → Plans & Subscriptions.

  2. Click Reactivate Subscription and select your plan.

  3. Your subscription will be restored immediately.

⚠️ If your subscription was cancelled and you're unable to connect LinkedIn accounts, reactivating your plan will restore that ability immediately.

💰 Refund policy

HeyReach subscriptions are billed on a recurring basis and are generally non-refundable once a billing period has started. However, we review refund requests on a case-by-case basis.

Common scenarios we review:

  • Charged after cancellation: If you were charged after clearly cancelling, contact support - we'll make it right.

  • Duplicate charge: If you were charged twice in error, we'll refund the duplicate immediately.

  • Charged for seats after a downgrade: If you downgraded but were billed for the original seat count, contact support with your account details.

📞 To request a refund, contact our support team via the chat widget with your account email, the invoice number (found in Settings → Billing → Invoices), and a brief description of the issue.

🗑️ Deleting your data after cancellation

Cancelling your subscription does not automatically delete your account data. If you'd like your data removed (e.g. for GDPR/privacy reasons), you need to submit a separate data deletion request.

To request data deletion:

  1. Cancel your subscription first (see above).

  2. Contact our support team via the chat widget or email.

  3. Confirm your account email and request full data deletion.

  4. Our team will confirm once your data has been purged.

‼️ Data deletion is irreversible. Once confirmed, all your workspaces, campaigns, leads, and account data will be permanently removed and cannot be recovered.

❓ Frequently asked questions

Can I pause my subscription instead of cancelling?

Yes - HeyReach offers to pause your subscription for a maximum of two months. To do so, please click 'Cancel Subscription', and you will be offered to pause rather than cancel.

Will I be notified before my subscription renews?
Yes - HeyReach sends an email reminder before your renewal date. Check your inbox (and spam folder) for emails from HeyReach Inc OÜ.

I cancelled, but I'm still getting invoices - why?
If you received an invoice after cancellation, it may have been generated for the period before cancellation was processed. Contact support with your invoice number, and we'll clarify.

Can I switch from monthly to annual billing?
Yes - switching to annual billing is available from HeyReach plan tab and typically offers a discount. Contact support if you need help with this transition.

What happens to my leads and campaign data if I cancel?
Your data is retained in HeyReach for a period after cancellation. If you reactivate within that window, everything will be exactly as you left it. For permanent data removal, submit a data deletion request (see above).
