In the current version of the tool, this is the list of available actions for building a campaign sequence:
Conditions:
If connected (check video here)
Open profile check (helps with InMails)
LinkedIn actions:
Connection request (with a personalized note or not)
Send message
View profile
Follow profile
Like post
Multichannel steps for Smartlead, Instantly, and EmailBison.
Regarding additional in-step options, you can also add a delay time and an end sequence step to the desired branch.
⚠️ Delay time is required for most of the steps, as there is a rule of having a minimum of 3 hours' delay between two actions.
The only exceptions are the 'If connected' and 'Open profile check' actions, which also allow a 'No Delay' option for the initial first step of the campaign for both branches.
Conditional actions
The two conditional actions filter leads based on their relevant status regarding the check made:
If connected: Checks whether the lead is connected to its assigned sender. If connected, it will push the lead down the Connected branch. If not connected, it will push them down the Not Connected branch. As such, leads with a pending Connection Request from their assigned sender will go down the Not Connected branch.
Open profile check: Checks whether the lead has an open profile. If open, it will push the lead down the Open profile branch. If not open, it will push them down the Not open profile branch. This action is only possible with senders with a Sales Navigator license and considers LinkedIn's limitations for open/closed profiles.
🧑💻 If Connected and Open profile check filter 250 leads per day per sender. If you have multiple senders attached to your campaign, use these steps if you have more than 1000 leads in your campaign. Otherwise, all eligible leads could be assigned to one sender, which could cause the other senders to underperform.
How to use If connected?
If you have a lead list of 1st- and 2nd/3rd-degree connections, this step ensures your outreach targets all leads. You can split your sequence workflow based on whether your leads are already connected to the LinkedIn sender.
‼️ Leads are assigned at random to a campaign's sender(s). If your campaign has more than 1 sender, leads could be assigned to a sender they are connected to or not. This could cause only one branch to be active if more leads are assigned to senders they are connected to or not.
The right side of the sequence - Connected (the success branch):
If a lead is already in your network, you can jump straight to messaging and engagement.
The left side of the branch - Not connected (the negative branch):
If they’re not connected yet, build the sequence with warm-up actions ('Like Post', 'Follow Profile' or 'View Profile') to grab the lead's attention, then send them a Connection Request and a message (if they accept the Connection Request).
How to use Open profile check?
The best way to set up an InMail campaign in HeyReach is to use Open profile check to filter the leads into open and closed. By doing so, you can target only open InMails and maximize your outreach in line with the three limits (monthly InMail limit, open profile InMail limit, and InMail credits).
The right side of the sequence - Open profile (the success branch):
If the lead is an open profile, send them an InMail.
The left side of the branch - Not open profile (the negative branch):
If the lead is a closed profile, build the sequence with warm-up actions ('Like Post', 'Follow Profile' or 'View Profile') to grab the lead's attention, then send them a Connection Request and a message.
LinkedIn actions
LinkedIn actions can be divided into three categories:
Warm-up actions: These are 'Like Post', View Profile', and 'Follow Profile'. Their purpose is to warm up the lead and grab their attention. These actions should be used before the Connecting actions
Connecting actions: These are 'Send Connection Request', 'Send InMail', and 'Send Message'. Their purpose is to connect or initiate a conversation with a lead.
Find Email: Find the lead's email. This enables multichannel outreach if you don't have the lead's email. Check out this article for more information and this article for more information about how the found email is stored.
Warm-up actions:
🧑💻 These actions have a daily limit of 40 per sender. These limits are shared internally for a campaign and across campaigns. This can create bottlenecks if the same warm-up action is used in one campaign or multiple campaigns with the same sender. Use each warm-up action once for a sender.
🧠 For instance, if a sender has three campaigns, use 'Like Post' in the first campaign, 'View Profile' in the second campaign, and 'Follow Profile' in the third campaign. If a sender has two campaigns, you could use two warm-up actions (e.g., 'Like Post' and 'View Profile') in the first campaign and the third remaining warm-up action ('Follow Profile') in the second campaign.
View Profile
You can add it before a Connecting action. It is best to use it before 'Send Connection Request'. Once the action is executed, the lead will be notified that the assigned sender viewed their account.
Follow Profile
‼️ You cannot add the Follow action step after using the Send Connection Request action. By default, when sending a Connection Request, the sender becomes a follower instantly. The Connection Request is pending until the lead decides to accept it or not.
You can add it before a Connecting action. It is best to use it before 'Send Connection Request'. Once the action is executed, the lead will be notified that the assigned sender followed their account.
Like Post
‼️ Be mindful of the reaction type when using this action, since you cannot specify which exact post will be reacted to. It is possible you react with Celebrate to something tragic.
You can add it before a Connecting action. It is best to use it before 'Send Connection Request'. Once the action is executed, the lead will be notified that the assigned sender reacted to their post.
Step 1. Set the reaction type:
You can choose the reaction type, and it covers all the available reactions from the original LinkedIn account:
Like
Celebrate
Support
Funny
Love
Insightful
Step 2. Set the time span
You can set the post's recency. For instance, if you select 1 Week, only posts made within the past 7 days will be considered for the action.
Posts Newer than:
24 Hours
3 Days
1 Week
3 Weeks
1 Month
3 Months
Step 3: Turn on/off Skip delay if a post cannot be liked
This allows a lead to skip the set delay time if it doesn't have a post within the specified time span. For instance, if you select 1 Week and the lead only has a post from a month ago, they can skip the set delay time and move to the next step in the sequence.
Once configured, you are ready to use the "Like Post" action in your campaign sequence.
Connecting actions
Send Connection Request
‼️There are certain cases you cannot send a Connection Request to a lead, and the lead will fail the campaign. They are the following:
The lead is already connected with the sender. Meaning, the lead is a 1st-degree connection. Consult this section for guidance on how best to target 1st- and 2nd-/3rd-degree connections in parallel (hyperlink How to use If connected? above).
The sender has already sent a Connection Request to the lead. Meaning, the Connection Request is still pending and must be accepted or rejected before the sender can send a new Connection Request to the lead.
The sender has withdrawn the Connection Request they've sent to the lead. Meaning, LinkedIn will disallow them from sending a new Connection Request to the lead unless three weeks have passed. Ensure that three weeks have passed before sending a new Connection Request to a lead if you've withdrawn the previous one.
This is your go-to action for leads who aren't a 1st-degree connection of your senders. This action includes two options:
Setting a withdrawal time for the sent Connection Request. If the lead doesn't accept the Connection Request within the set delay time, it will be withdrawn.
Setting a Connection Request note using custom variables by clicking 'Add variables' and a fallback message that will be sent if a custom variable isn't loaded for a lead. You can also leave the Connection Request note blank or include multiple variants of it using A/B testing. It is not possible to include multiple variants of the fallback message
Once you've set up (1) and (2), you must click 'Save'. Otherwise, your choices will not be saved.
🧑💻 You can also use our Preview option to double-check whether the custom variables will load for each lead.
If you decide to use a Connection Request note with this action, four things you must keep in mind:
Premium or Sales Navigator accounts can send an unlimited number of Connection Request notes with their Connection Requests. Free accounts are limited to 5-10 per month.
Premium or Sales Navigator accounts have a 300-character limit for Connection Request notes. Free accounts have a 200-character limit.
Connection Request notes are a 'limbo' action. They are sent alongside the Connection Request and can be viewed under LinkedIn's My Network page. Meaning, they are not sent when the Connection Request is accepted. Rather, they are sent with the Connection Request and instantly delivered to the lead's inbox if they accept it. If you have a campaign with a limited time span, it is best to send the first message using a 'Send Message' action after the Connection Request is accepted rather than with the Connection Request.
A/B variants are sent at random at each step. A lead might receive message A from the Connection Request and message B from the 'Send Message' step.
Send Message
‼️You cannot start the sequence by sending a message to leads who are your sender's 2nd- or 3rd-degree connections. The leads will fail.
This action can be used in three distinct ways:
After 'Send Connection Request' on the Accepted branch. If a lead accepts the Connection Request within the allocated delay time, the assigned sender will message the lead.
After 'If Connected' on the Connected branch. You can send a message to these leads directly.
Start a campaign with 'Send Message' if all leads in it are your sender's 1st-degree connections.
This action allows using custom variables by clicking 'Add variables'. You can also include multiple variants of it using A/B testing. You must also use a fallback message that will be sent if a custom variable isn't loaded for a lead. It is not possible to include multiple variants of the fallback message
🧑💻 You can also use our Preview option to double-check whether the custom variables will load for each lead.
💡 A/B variants are sent at random. A lead might be sent variant A at one 'Send Message' action and variant B at another 'Send Message' action.
Send InMail
‼️To send InMails through HeyReach, the senders must have a valid Sales Navigator license that is successfully connected to HeyReach. Senders with a Premium or Recruiter license cannot send InMails through HeyReach.
You can message leads you aren't connected with using 'Send InMail'. As this is pretty powerful, LinkedIn limits the number of InMails you can send per month. Consult this article for best practices on how to structure an InMail campaign in HeyReach.
Same with the 'Send Message' action; 'Send InMail' allows using custom variables by clicking 'Add variables'. You can also include multiple variants of it using A/B testing. You must also use a fallback InMail that will be sent if a custom variable isn't loaded for a lead. It is not possible to include multiple variants of the fallback message
The difference is that 'Send InMail' asks you for a subject line, which can also contain custom variables. The fallback InMail also asks for a subject line, but it cannot contain custom variables.
🧑💻 You can also use our Preview option to double-check whether the custom variables will load for each lead.
💡 A/B variants are sent at random. A lead might be sent variant A at one 'Send InMail' action and variant B at another 'Send InMail' action.
Multichannel actions
HeyReach has three distinct integrations to continue your outreach via email sequence (going multichannel). These integrations have their respective step in an email sequence:
Add to Instantly.
Add to Smartlead.
Add to EmailBison.
